About the role
We are looking for a dynamic, collaborative, detail driven individual with multitasking and priority management skills and with ability to deliver on responsibilities given. The Operations Officer is required to work closely with other team members in India and OCA group globally to coordinate workshops, events, travel of teams and partners and support country level communication with external sector actors. The role will support programmatic coordination with implementing partners and support ongoing key projects.
This position is based in Delhi NCR and reports into the Country Manager, India
Key responsibilities
Coordination and logistics management support
Organising OCA’s hosted and participated events, workshops, and meetings – leading internal and external communication, participants confirmation, vendor management, logistics coordination.
- Coordinates online workshops with Implementing Partners – communication, participation of IP partners.
- Manages logistics for capacity building workshops – coordination with participants and vendors, ensure their attendance through follow ups, transport venue and hotel booking support.
- Manages and coordinates domestic and international team travel bookings.
- Manages and coordinates travel for visiting OCA global teams.
- Ensures travel invoices and vendor payments are up to date on a monthly and quarterly basis in coordination with finance department and vendors.
- Direct bookings made by team members – invoice management with finance department and system updates.
Operations support
- Supports drafting of official communication materials for engagement with government bodies, partners and standards with the Country manager and the programmes team.
- Support global communications team to coordinate with vendors in India for printing and distribution of communication materials.
- Leads organisation of project level display materials, audio visual presentations, communication materials in external events like World Cotton Day, YarnTex, Bharat Tex, others.
- Stays up to date on sector developments.
- Documentation of OCA India’s legal, finance, operational details in close coordination with the Country Manager, including mapping expansion opportunities.
Farm Programme documentation
- Maintaining OCA’s Internal dashboard on key project updates, support development of reports (Progress Update Reports, Corrective Action Plan, and other reporting deliverables of OCA India)
- Documentation of farm programme inventories, consolidating annual plan progress for optimum functioning of the programme team.
Travel required for this position
- 10-20% domestic travel as and when needed for meetings, workshops, and events.
- International travel for global meetings as and when needed.
Candidate Profile
The ideal candidate will have
- 3 – 5 years plus of experience in project management in relevant sectors or events and communication.
- Graduation degree will be basic requirement with Masters/ work experience in communication, policy, office administration preferred
- Strong communication skills and spoken written language proficiency in English and Hindi
- Experience in working with culturally diverse teams and sector partners in India and internationally.
- Interest in sustainability, aptitude to strengthen operations and implement OCA’s mission in India.
